Refund & Cancellation Policy
At TOPTIA Agency Enterprises (“TOPTIA,” “we,” “our,” or “us”), we value professionalism, transparency, and fairness. Because many of our services involve professional expertise, consultation, planning, scheduling, administrative work, custom deliverables, and coordination with third parties, this Refund & Cancellation Policy outlines how cancellations, refunds, credits, and appointment changes are handled.
By purchasing or scheduling any service with TOPTIA Agency Enterprises, you acknowledge that you have read, understood, and agree to this Refund & Cancellation Policy.
1. General Policy
TOPTIA Agency Enterprises is committed to providing quality professional services. Due to the nature of our work, not all services are eligible for cancellation or refund.
Refund eligibility depends on the specific service purchased, the amount of work completed, applicable law, and any written agreement between TOPTIA and the client.
2. Non-Refundable Services
Unless otherwise required by law or specifically agreed to in writing, the following are generally non-refundable once work has begun:
• Consultation fees
• Discovery sessions
• Strategy sessions
• Business planning services
• Research services
• Administrative services
• Business formation services
• Tax preparation services
• Property management services already performed
• Staffing services already performed
• Marketing or branding services already performed
• Graphic design work already completed
• Custom digital products
• Downloadable products
• Training materials
• Educational resources
• Templates
• Forms
• Personalized reports
• Custom documents
• Filing fees paid to government agencies or third parties
• Third-party service fees
• Processing fees
Professional time, expertise, planning, and work performed cannot be returned once provided.
3. Deposits
Deposits secure scheduling, planning, and the allocation of company resources.
Unless otherwise stated in writing, deposits are non-refundable.
If TOPTIA is unable to perform the requested service for reasons solely within our control, a deposit may be refunded or applied as a credit at our discretion, unless prohibited by law.
4. Appointment Cancellations
Clients may cancel or reschedule appointments by providing at least twenty-four (24) hours’ notice.
Appointments canceled with less than twenty-four (24) hours’ notice may be considered late cancellations.
TOPTIA reserves the right to charge a cancellation fee or require a new booking fee before rescheduling.
5. Missed Appointments
Failure to attend a scheduled appointment without prior notice may be considered a “No Show.”
Clients who fail to appear for scheduled appointments may:
• Forfeit appointment fees
• Be required to pay a new booking fee
• Be required to prepay future appointments
• Have future scheduling privileges limited or suspended
Repeated no-shows may result in refusal of future services.
6. Client-Initiated Cancellations
Clients may discontinue services at any time by providing written notice.
Cancellation does not eliminate responsibility for:
• Completed work
• Time already invested
• Expenses incurred
• Third-party costs
• Outstanding invoices
Any unpaid balances remain due according to the applicable service agreement.
7. Company-Initiated Cancellations
TOPTIA reserves the right to suspend or terminate services when necessary, including but not limited to situations involving:
• Fraud or suspected fraud
• Identity theft
• False or misleading information
• Non-payment
• Harassment
• Threatening behavior
• Discrimination
• Illegal requests
• Failure to cooperate
• Failure to provide required documentation
• Violations of company policies
If TOPTIA terminates services, clients remain responsible for payment of work completed before termination.
8. Refund Requests
Any request for a refund must be submitted in writing.
Submission of a refund request does not guarantee approval.
Each request will be reviewed individually based on:
• Services purchased
• Work completed
• Applicable agreements
• Supporting documentation
• Applicable law
TOPTIA reserves the right to deny refund requests where permitted by law.
9. Chargebacks
Clients agree to contact TOPTIA before initiating a chargeback or payment dispute.
Initiating a chargeback does not eliminate responsibility for valid contractual obligations.
TOPTIA reserves the right to provide contracts, invoices, correspondence, service records, appointment logs, documentation, signed agreements, and other supporting evidence to financial institutions or payment processors in response to disputed transactions.
Fraudulent chargebacks may result in:
• Immediate termination of services
• Collection efforts
• Recovery of fees and costs where permitted by law
• Refusal of future services
10. Credits
At TOPTIA’s sole discretion, an approved refund may be provided in the form of:
• A partial refund
• A service credit
• A future appointment credit
• A replacement service
The decision regarding the form of any approved refund shall be made by TOPTIA unless otherwise required by law.
11. Third-Party Fees
Payments made directly to government agencies, vendors, contractors, lenders, payment processors, software providers, licensing agencies, or other third parties are generally non-refundable through TOPTIA.
Clients must contact the applicable third party regarding their refund policies.
12. Digital Products
Digital products, downloadable resources, templates, guides, checklists, forms, educational materials, and other electronic content are generally non-refundable once access has been provided or the product has been delivered.
13. Service Delays
Service delays caused by circumstances outside of TOPTIA’s reasonable control do not automatically entitle clients to refunds.
Examples include:
• Government processing delays
• Third-party delays
• Vendor delays
• Weather events
• Natural disasters
• Internet outages
• Power outages
• Regulatory delays
• Client failure to provide requested documentation
14. Disputes
Any concerns regarding services should be communicated to TOPTIA as soon as reasonably possible.
We are committed to reviewing concerns professionally and in good faith to seek an appropriate resolution whenever possible.
15. Policy Changes
TOPTIA reserves the right to modify this Refund & Cancellation Policy at any time.
Changes become effective upon publication unless otherwise stated.
Continued use of our services constitutes acceptance of any revised policy.
