Booking and Appointment Policy

At TOPTIA Agency Enterprises (“TOPTIA,” “we,” “our,” or “us”), appointments are scheduled to provide each client with dedicated time, professional attention, and quality service. This Booking & Appointment Policy outlines our scheduling procedures, client responsibilities, cancellation expectations, and appointment guidelines.

By scheduling an appointment with TOPTIA, you acknowledge that you have read, understood, and agree to this policy.

 

1. Purpose

The purpose of this policy is to:

• Establish clear scheduling expectations.

• Protect the time of our clients and staff.

• Promote efficient operations.

• Reduce scheduling conflicts.

• Ensure each client receives appropriate preparation and attention.

 

2. Appointment Scheduling

Appointments are available by reservation only unless otherwise announced.

Appointment availability may vary based on:

• Service requested

• Staff availability

• Business hours

• Project workload

• Holidays

• Emergencies

• Other operational considerations.

Submitting an appointment request does not guarantee a confirmed appointment until confirmation has been provided by TOPTIA.

 

3. Appointment Confirmation

Appointments may be confirmed through:

• Email

• Telephone

• Text message

• Online scheduling platform

• Other approved communication methods.

Clients are responsible for reviewing appointment confirmations and notifying TOPTIA promptly if any information is incorrect.

 

4. Client Preparation

Clients are expected to arrive prepared for their appointment.

Depending on the service requested, clients may be required to:

• Complete intake forms

• Upload requested documents

• Provide identification

• Bring supporting documentation

• Complete required questionnaires

• Submit payment or deposits

Failure to provide required information before an appointment may require rescheduling or may limit the services that can be provided during the appointment.

 

5. Arrival Time

Clients are encouraged to arrive or log in approximately ten (10) minutes before their scheduled appointment.

Late arrivals may result in a shortened appointment to avoid disrupting other scheduled clients.

If a client arrives excessively late, TOPTIA may require the appointment to be rescheduled.

 

6. Virtual Appointments

Virtual appointments may be offered for eligible services.

Clients are responsible for ensuring they have:

• A reliable internet connection

• A functioning camera if requested

• A functioning microphone

• A quiet and private location

• Required documents readily available

TOPTIA is not responsible for delays or interruptions caused by the client’s technology or internet service.

 

7. In-Person Appointments

Clients attending in person should comply with all applicable office procedures, building policies, and safety requirements.

TOPTIA reserves the right to refuse entry or discontinue appointments for individuals whose behavior creates a safety concern or disrupts business operations.

 

8. Rescheduling

Clients may request to reschedule appointments by providing reasonable advance notice.

Repeated requests to reschedule may result in limited scheduling availability or the requirement of a new booking fee.

 

9. Cancellations

Appointment cancellations are governed by the Refund & Cancellation Policy.

Whenever possible, clients should provide at least twenty-four (24) hours’ notice before canceling.

Failure to provide adequate notice may result in cancellation fees, forfeiture of appointment fees, or restrictions on future scheduling.

 

10. No-Show Policy

A “No Show” occurs when a client fails to attend a scheduled appointment without providing notice.

TOPTIA reserves the right to:

• Charge applicable no-show fees

• Require prepayment for future appointments

• Restrict future scheduling

• Decline future appointment requests

Repeated no-shows may result in termination of the client relationship.

 

11. Emergency Cancellations

TOPTIA understands that emergencies may occur.

Emergency cancellations will be reviewed on a case-by-case basis.

TOPTIA reserves the right to request reasonable documentation when appropriate.

Approval of any exception is solely at TOPTIA’s discretion unless otherwise required by law.

 

12. Company Rescheduling

TOPTIA may occasionally need to reschedule appointments due to circumstances including:

• Staff illness

• Emergencies

• Severe weather

• Power outages

• Internet outages

• Facility issues

• Other unforeseen events

When reasonably possible, affected clients will be notified promptly and offered the next available appointment.

 

13. Group Appointments

Certain consultations or training sessions may involve multiple participants.

The individual scheduling the appointment is responsible for ensuring that all participants receive applicable appointment information and comply with TOPTIA’s policies.

 

14. Recording Policy

To protect the privacy of all participants, audio recording, video recording, photography, livestreaming, screen recording, or other forms of recording during appointments are prohibited without the prior knowledge and express consent of all participants, unless otherwise permitted or required by applicable law.

TOPTIA reserves the right to end an appointment if unauthorized recording is discovered.

Nothing in this policy is intended to limit any rights that cannot be waived under applicable law.

 

15. Service Refusal

TOPTIA reserves the right to refuse or discontinue appointments when:

• Required documentation has not been provided.

• Identity cannot be verified.

• Payment requirements have not been satisfied.

• Fraud is suspected.

• A client engages in abusive, threatening, discriminatory, or inappropriate conduct.

• A client requests illegal or unethical services.

• Continuing the appointment would violate applicable law or company policy.

 

16. Appointment Duration

Appointment lengths vary depending on the service selected.

TOPTIA will make reasonable efforts to remain on schedule; however, appointment times are estimates and may vary based on client needs or unforeseen circumstances.

 

17. Communication

Clients are responsible for maintaining current contact information.

TOPTIA is not responsible for missed appointments resulting from outdated or inaccurate contact information provided by the client.

 

18. Policy Updates

TOPTIA reserves the right to modify this Booking & Appointment Policy at any time.

Changes become effective upon publication unless otherwise stated.

Continued scheduling or participation in appointments after changes are posted constitutes acceptance of the revised policy.
