Payment Policy

TOPTIA Agency Enterprises (“TOPTIA,” “we,” “our,” or “us”) is committed to maintaining fair, transparent, and professional billing practices. This Payment Policy explains our payment requirements, accepted payment methods, invoicing procedures, and client responsibilities.

By purchasing any product or service from TOPTIA Agency Enterprises, you acknowledge that you have read, understood, and agree to this Payment Policy.

 

1. Purpose

The purpose of this policy is to establish clear payment expectations, protect both our clients and our business, and promote timely and professional financial transactions.

 

2. Payment Requirement

Unless otherwise agreed to in writing, payment is due according to the terms stated in your proposal, invoice, service agreement, estimate, or contract.

Certain services require full payment before work begins.

Other services may require a deposit, milestone payments, recurring payments, or payment upon completion.

TOPTIA reserves the right to determine the payment structure for each service.

 

3. Deposits

Certain services require a deposit before scheduling or beginning work.

Deposits reserve company resources, scheduling, planning, administrative time, and project availability.

Unless otherwise stated in writing or required by applicable law, deposits are non-refundable and are governed by our Refund & Cancellation Policy.

 

4. Accepted Payment Methods

TOPTIA may accept payment through one or more of the following methods:

• Credit cards

• Debit cards

• ACH transfers

• Electronic bank transfers

• Business checks

• Certified funds

• Approved digital payment platforms

• Other payment methods approved by TOPTIA

TOPTIA reserves the right to change accepted payment methods at any time.

 

5. Returned Payments

Clients are responsible for ensuring that sufficient funds are available when payments are submitted.

Returned payments, declined transactions, insufficient funds, or payment reversals may result in:

• Service delays

• Suspension of services

• Returned payment fees, where permitted by law

• Requirement for future guaranteed funds

• Cancellation of pending work

 

6. Late Payments

Invoices not paid by the stated due date may be considered past due.

TOPTIA reserves the right, where permitted by law and applicable agreement, to:

• Assess reasonable late fees or interest

• Suspend ongoing work

• Delay delivery of completed work

• Pause project timelines

• Refuse future services until balances are satisfied

• Refer unpaid accounts for collection

Any applicable late fees or finance charges will be disclosed in the applicable service agreement or invoice where required by law.

 

7. Collections

Clients remain responsible for payment of all valid charges.

If an account remains unpaid, TOPTIA may pursue lawful collection efforts, including the use of third-party collection agencies or legal remedies.

To the extent permitted by law and the applicable agreement, the client may also be responsible for reasonable collection costs, court costs, and attorney’s fees incurred in collecting overdue amounts.

 

8. Chargebacks & Payment Disputes

Clients agree to contact TOPTIA before initiating a chargeback or payment dispute.

Many concerns can be resolved quickly through direct communication.

If a chargeback or payment dispute is initiated, TOPTIA reserves the right to provide supporting documentation to the payment processor or financial institution, including:

• Signed agreements

• Invoices

• Receipts

• Appointment records

• Emails

• Text messages

• Project documentation

• Time records

• Service deliverables

• Client communications

Fraudulent or abusive chargebacks may result in immediate termination of services, refusal of future services, and lawful collection efforts.

 

9. Taxes & Government Fees

Clients remain responsible for any applicable taxes, filing fees, permit fees, licensing fees, government charges, or other third-party costs associated with requested services unless otherwise stated in writing.

TOPTIA will identify known third-party fees whenever reasonably possible; however, such fees are subject to change by the issuing authority or provider.

 

10. Pricing

TOPTIA reserves the right to modify pricing at any time.

Price changes do not affect services already covered by a fully executed agreement unless otherwise permitted by that agreement.

Written proposals, estimates, and quotations are valid only for the period stated within the document.

 

11. Payment Plans

When approved by TOPTIA, payment plans may be offered for certain services.

Failure to comply with an approved payment plan may result in:

• Immediate acceleration of the remaining balance

• Suspension of services

• Cancellation of future appointments

• Collection activity

Approval of a payment plan is entirely at TOPTIA’s discretion and may be withdrawn for noncompliance.

 

12. Ownership of Deliverables

Unless otherwise agreed in writing, all work product, documents, reports, designs, marketing materials, business plans, graphics, templates, and other deliverables remain the property of TOPTIA until all outstanding balances have been paid in full.

TOPTIA reserves the right to withhold delivery, publication, transfer, or release of completed work until payment obligations have been satisfied, unless prohibited by applicable law.

 

13. No Waiver

Acceptance of a late or partial payment does not waive TOPTIA’s right to enforce the remaining payment obligations or any other rights available under law or contract.

 

14. Disputed Invoices

Clients should notify TOPTIA in writing of any invoice dispute as soon as reasonably possible.

TOPTIA will review the concern in good faith and respond within a reasonable time.

Undisputed portions of an invoice remain due while a dispute is being reviewed.

 

15. Fraud Prevention

TOPTIA reserves the right to delay or decline processing any payment that appears suspicious, unauthorized, fraudulent, or inconsistent with our Identity Verification Policy or Know Your Client (KYC) & Anti-Fraud Policy.

Additional verification may be required before services continue.

 

16. Policy Updates

TOPTIA may update this Payment Policy from time to time.

Changes become effective upon publication unless otherwise stated.

Continued use of TOPTIA’s services after changes are posted constitutes acceptance of the revised policy.
